About the job Operation & Maintenance Assistant // ProgerAbout Proger:Proger is an international company that offers the best Italian management and engineering expertise in a broad range of fields.Founded more than 70 years ago as a small engineering firm, today they are the number one independent engineering company in Italy, with an established position among the worlds leading international design firms.Counting on more than 600 professionals working on 3 continents, they propose a global approach to the integrated design and management of large-scale multidisciplinary projects.Purpose of role:The Operation & Maintenance Assistant supports the Operation & Maintenance Specialist in developing and executing the strategy for public art operations and maintenance across the Art Program.The role involves coordinating data collection, preparing documentation, tracking progress, and assisting with procurement and communications to ensure efficient management of all operational and maintenance workflows.Key Responsibilities and Specific Accountabilities:1. Respond directly to the Operation & Maintenance Specialist.2. Assist the Operation & Maintenance Specialist, to conduct the general assessments of the current state of the public art collection, supporting the identification of priorities for maintenance and conservation.3. Support, under the guidance of the Operation & Maintenance Specialist, in the development and updating of phased methodologies for maintaining and preserving artworks, based on condition assessments, significance, and maintenance requirements.4. Support the Operation & Maintenance Specialist, in establishing program-wide procedures for determining maintenance priorities and providing guidance on conceptual estimating to ensure consistency and efficiency.5. Draft, in alignment with the Operation & Maintenance Specialist, technical documentation and sample specifications for maintenance, including qualifications of personnel and scopes of work for service providers, ensuring compliance with best practices.6. Contribute, under the coordination with the Operation & Maintenance Specialist, to the preparation and updating of a comprehensive public art preservation and maintenance plan as a roadmap for the long-term care and sustainability of the collection.7. Assist, in collaboration with the Operation & Maintenance Specialist, in defining procurement and packaging strategies, ensuring clear and actionable scopes of work for service providers.8. Support, under the direction of the Operation & Maintenance Specialist, in project administration and communications, including progress updates, workshops, presentations, and weekly or biweekly coordination meetings.9. Help the Operation & Maintenance Specialist in reviewing existing documentation (program master plan, collections database, artists maintenance plans) to support informed planning and decision-making.10. Provide assistance in the tendering process, including preparing bid documentation, coordinating evaluations of service providers, and supporting award procedures, ensuring adherence to program requirements.11. Support the Operation & Maintenance Specialist, during the implementation phase, ensuring quality control, risk management, and timely delivery of operational and maintenance tasks.12. Monitor, under the supervision of the Operation & Maintenance Specialist, KPIs and performance metrics, assisting in preparing detailed reports and insights for continuous improvement.13. Availability to travel, nationally and internationally, for a better management of the activities listed above.Person Specification Job Knowledge / Education and Qualifications / Personal Attributes:
  • The ideal candidate should hold a bachelors or masters degree in
Art/Communication/Management field from an internationally recognized university and over 7 years experience or 12 years experience in the specific field gained on similar projects. * Experience of direct oversight of the following functions: conservation of art works, procurement methodologies, risk management, financial management, quality assurance and quality control.
  • Basic knowledge of international best practices in public art conservation and long-term maintenance planning.
  • Excellent verbal and written communication skills.
  • Experience of working internationally.
