1. Review and modify electrical and mechanical drawings, ensuring they align with civil engineering plans and project specifications.
2. Understand and interpret all electrical, mechanical, and HVAC systems, integrating them seamlessly with civil engineering designs.
3. Present proposed changes to the Management of Change Committee, providing comprehensive documentation and technical explanations.
4. Collaborate closely with civil engineers to discuss and finalize details related to the new design of the SATORP and/or Amiral Buildings.
5. Conduct detailed assessments of design plans to ensure structural integrity, safety, and compliance with regulatory standards.
6. Coordinate with multidisciplinary teams to ensure that all project aspects, including electrical, mechanical, and civil components, are harmonized.
7. Oversee the implementation of design changes, ensuring minimal disruption to ongoing projects and operations.
8. Prepare technical reports and presentations for stakeholders, summarizing key findings and recommendations.
9. Oversee the day-to-day operations of office services, including maintenance, security, and administrative support.
10. Ensure office supplies are stocked and manage inventory levels.
11. Coordinate office moves, space planning, and workstation assignments.
12. Liaise with external vendors and service providers to ensure timely and cost-effective solutions.
13. Conduct regular inspections to identify and address any maintenance issues.
14. Lead the planning and execution of office redesign projects to enhance functionality and aesthetics.
15. Collaborate with architects, designers, and contractors to develop and implement building infrastructure improvements.
16. Ensure compliance with safety regulations and building codes during renovations and upgrades.
17. Track expenses and ensure projects are completed within budget.
18. Optimize resource allocation and negotiate contracts with vendors.
19. Implement and monitor health and safety policies and procedures.
20. Conduct safety training and drills to ensure a secure work environment.
21. Address any safety concerns promptly and effectively.
22. Supervise and mentor junior staff members, providing guidance and support.
23. Foster a positive and collaborative work culture.
24. Set performance goals and conduct regular evaluations.
25. Prepare reports on office and facilities operations, including project status updates.
26. Maintain accurate records of maintenance activities, contracts, and expenses.
27. Present findings and recommendations to senior management.MINIMUM REQUIREMENTS (QUALIFICATIONS / EXPERIENCE REQUIRED)
Main Competencies and Qualities:
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and facilities management software.
- Knowledge of health and safety regulations and building codes.Education Background:
Bachelor's degree in Engineering, Business Administration, Facilities Management, or a related field.
- Proven experience in office management, facilities coordination, or a similar role.
- Strong project management skills, with a focus on redesign and infrastructure projects.
- Excellent organizational and multitasking abilities.Experience:
(5) years of experience in Materials Management and Coordination, of which at least Two (2) years in a similar position.
