Our client is seeking a highly organised and detail-oriented Legal Secretary to join their team. You will play a key role in supporting the Fee-earners with a variety of administrative and secretarial tasks. This position requires excellent communication skills, discretion, and a proactive approach to managing multiple priorities.Key Responsibilities
  • Answer incoming calls, relay messages promptly, and ensure professional communication at all times.
  • Accurately type, format, and amend legal documents, agreements, and correspondence, ensuring grammatical precision.
  • Draft and send client-related letters and emails with Fee-earner approval.
  • Manage diaries, schedule meetings, conference calls, and coordinate travel arrangements.
  • Provide comprehensive administrative and ad-hoc support to Fee-earners in line with firm guidelines.
  • Develop and maintain effective and confidential filing systems.
  • Assist Fee-earners in timely and accurate time entry within internal systems.
  • Liaise with the Accounts team and Fee-earners to prepare and send invoices, including cover letters and billing checks.
  • Handle general secretarial tasks and digital dictation.
  • Proactively manage calendars and prioritise time-sensitive tasks.
  • Prepare and amend legal documents, bibles, and materials for client meetings.
  • Support matter management, including opening/closing files and updating client WIP.
  • Maintain and update client contact information in InterAction.
  • Process expense claims electronically and manage photocopying, filing, and scanning needs.
Skills & Attributes
  • Fast and accurate typing, with the ability to handle large volumes of documentation efficiently.
  • Proficiency in Microsoft Office and CRM tools, especially InterAction.
  • High attention to detail and strong organisational skills.
  • Ability to remain calm and effective under pressure, using initiative to solve problems.
  • Professional telephone manner and excellent written/verbal communication.
  • Flexible, adaptable, and able to prioritise tasks effectively.
  • Strong interpersonal skills, sound judgment, and discretion.
  • Committed to continuous learning and professional development.
  • Fluent in both Arabic and English.
  • Collaborative team player with a proactive, can-do attitude.
Qualifications
  • Minimum of 5 years' experience in a secretarial or administrative role.
  • High school diploma required; post-secondary education preferred.
  • Previous experience in a professional services or legal environment is advantageous.
