- Answer incoming calls, relay messages promptly, and ensure professional communication at all times.
- Accurately type, format, and amend legal documents, agreements, and correspondence, ensuring grammatical precision.
- Draft and send client-related letters and emails with Fee-earner approval.
- Manage diaries, schedule meetings, conference calls, and coordinate travel arrangements.
- Provide comprehensive administrative and ad-hoc support to Fee-earners in line with firm guidelines.
- Develop and maintain effective and confidential filing systems.
- Assist Fee-earners in timely and accurate time entry within internal systems.
- Liaise with the Accounts team and Fee-earners to prepare and send invoices, including cover letters and billing checks.
- Handle general secretarial tasks and digital dictation.
- Proactively manage calendars and prioritise time-sensitive tasks.
- Prepare and amend legal documents, bibles, and materials for client meetings.
- Support matter management, including opening/closing files and updating client WIP.
- Maintain and update client contact information in InterAction.
- Process expense claims electronically and manage photocopying, filing, and scanning needs.
- Fast and accurate typing, with the ability to handle large volumes of documentation efficiently.
- Proficiency in Microsoft Office and CRM tools, especially InterAction.
- High attention to detail and strong organisational skills.
- Ability to remain calm and effective under pressure, using initiative to solve problems.
- Professional telephone manner and excellent written/verbal communication.
- Flexible, adaptable, and able to prioritise tasks effectively.
- Strong interpersonal skills, sound judgment, and discretion.
- Committed to continuous learning and professional development.
- Fluent in both Arabic and English.
- Collaborative team player with a proactive, can-do attitude.
- Minimum of 5 years' experience in a secretarial or administrative role.
- High school diploma required; post-secondary education preferred.
- Previous experience in a professional services or legal environment is advantageous.
