Job Summary
The Operations Manager, TFM, is responsible for overseeing the daily operations of all facilities management services for a client or portfolio of clients. This includes managing a diverse team, ensuring the delivery of high-quality services, maintaining compliance with all safety and legal regulations, and managing budgets and vendor relationships. The ideal candidate will be a strategic thinker with a proven track record of optimizing processes, improving service delivery, and driving customer satisfaction.Key Responsibilities
Operational Management:Oversee the day-to-day delivery of all TFM services, including but not limited to:Hard services (HVAC, plumbing, electrical, fire and life safety systems).Soft services (cleaning, security, landscaping, waste management, pest control).Front-of-house services (reception, mailroom).Space management and moves/adds/changes.Develop, implement, and maintain operational policies, procedures, and best practices to maximize efficiency and service quality.Troubleshoot and respond to after-hours issues and emergencies related to facility operations.Conduct regular inspections and audits to ensure services meet quality standards and contractual obligations.Leadership and Team Management:Lead, mentor, and motivate a team of facilities professionals, technicians, and support staff.Manage staffing plans, including hiring, training, performance evaluations, and disciplinary actions.Foster a culture of safety, accountability, and continuous improvement within the team.Financial and Contract Management:Develop, manage, and monitor operational budgets, forecasts, and expenditures.Negotiate and manage contracts with suppliers, vendors, and subcontractors to ensure cost-effectiveness and service quality.Identify opportunities for cost savings and operational efficiencies.Prepare and present reports on operational performance, budget status, and key performance indicators (KPIs) to senior management and clients.Health, Safety, and Compliance:Ensure all facilities and operations are in full compliance with local, state, and federal regulations, as well as industry standards (e.g., ADA, Fire Life Safety).Implement and enforce health and safety guidelines and procedures.Conduct risk assessments and develop mitigation strategies.Ensure all necessary permits, licenses, and certifications are up to date.Client and Stakeholder Relations:Serve as the primary point of contact for clients on all operational matters.Build and maintain strong, positive relationships with clients, vendors, and internal stakeholders.Address client concerns and feedback in a timely and professional manner to ensure high levels of customer satisfaction.Required Skills and Qualifications
Experience:Proven experience as an Operations Manager or a similar leadership role in the TFM or facilities management industry.Strong knowledge of facilities maintenance, building systems, and operations.Experience in managing budgets, contracts, and vendor relationships.Demonstrated experience in leading and developing a diverse team.Education:A Bachelor's degree in Business Administration, Facilities Management, Engineering, or a related field.Relevant professional certifications (e.g., Certified Facility Manager - CFM, Facilities Management Professional - FMP) are a plus.Skills:Exceptional leadership, communication, and interpersonal skills.Strong problem-solving and decision-making abilities.Excellent organizational and project management skills.Proficiency in facilities management software (e.g., CMMS) and Microsoft Office Suite.Financial acumen with the ability to analyze data and prepare reports.A practical, flexible, and innovative approach to work.
